How Woom handles information belonging to listeners, artists, and Producer/Publishers.

This Privacy Policy explains how Faith IT Consult Ghana Limited ("Faith IT Consult", "Woom", "we", "our", or "us") collects, uses, stores, shares, and protects information through the Woom website, mobile application, artist and Producer/Publisher portal, APIs, payment systems, music-distribution services, and related services.

Scope: This policy applies to listeners, account holders, artists, Producer/Publishers, managed artists, representatives, and other people who interact with Woom.

1. Information we collect

Account and contact information

We may collect your name, email address, phone number, account type, password hash, authentication tokens, profile picture, biography, website, and account or device identifiers.

Artist and release information

For artists and Producer/Publishers, we may collect stage names, contact details, label or publisher details, artist photographs, biographies, commission requests and approvals, release metadata, artwork, MP3 files, lyrics, credits, pricing, genres, release dates, and ownership or authorization information.

Purchases, earnings, and payments

We may collect orders, purchased songs and albums, prices, payment status, transaction references, Mobile Money network and number, refunds, reversals, chargebacks, artist commissions, sales, earnings, and payout records. Payment providers process payment authorization information under their own policies. Woom does not request or store your Mobile Money PIN.

Usage and technical information

We may collect IP address, device and app information, session activity, security logs, crashes, searches, catalogue views, downloads, purchases, listening or playback activity, library access, notifications, and attempts to access or copy protected music.

Communications

We may retain support requests, emails, complaints, copyright notices, feedback, verification messages, and other communications.

3. Public artist information

Approved artist names, biographies, profile pictures, websites, release titles, credits, artwork, genres, prices, and related promotional information may be publicly displayed through Woom. Do not submit profile information you do not want made public.

4. Payments and communications providers

We may send transaction information to Paystack and relevant financial or Mobile Money providers to initiate and verify payments. We may send phone numbers and message templates to Arkesel for SMS verification. We may use Mailgun or other communication providers to deliver email. These providers process information under their own terms and privacy policies.

5. Encryption, security, and anti-piracy

Uploaded MP3 files may be encrypted before distribution. We use access controls, session checks, encryption keys, transaction verification, hashes, monitoring, and logs to protect accounts and music. We may investigate suspicious access, file extraction, credential sharing, payment fraud, scraping, or attempts to bypass Woom's security measures.

6. How we share information

We may share information with payment and Mobile Money providers, hosting and infrastructure providers, SMS and email providers, analytics and security vendors, professional advisers, regulators, courts, law enforcement, rights holders involved in a dispute, and successors involved in a merger, financing, reorganization, or sale. Producer/Publishers may receive financial and catalogue reporting for artists they legitimately manage.

We do not sell personal information as a standalone product.

7. International processing

Information may be stored or processed in Ghana or other countries where Woom's service providers operate. We take reasonable steps to use appropriate safeguards for such processing.

8. Retention

We retain information for as long as needed to operate Woom and satisfy contractual, accounting, tax, fraud-prevention, security, copyright, payment, and legal requirements. Closing an account does not automatically erase purchase entitlements, transactions, commissions, payouts, disputes, security records, or backups that must reasonably be retained.

9. Your choices and rights

Subject to applicable law, you may request access to, correction of, or deletion of eligible personal information, or object to certain processing. Some requests may be limited where records are required for purchases, artist payments, fraud prevention, security, rights disputes, accounting, or legal compliance.

Request deletion of your Woom account and associated data.

10. Cookies and local storage

Woom may use cookies, secure local storage, session tokens, and similar technologies to keep you signed in, remember preferences, measure performance, and prevent abuse.

11. Children's privacy

People under 18 should use Woom only with authorization from a parent or legal guardian. We may restrict or remove an account if we learn that information was submitted without appropriate authorization.

12. Data security

We use reasonable technical and organizational safeguards, but no digital system is completely secure. You are responsible for protecting your password, session, device, email, and phone account.

13. Changes to this policy

We may update this policy as Woom changes. The updated version becomes effective when published with a revised date. Material changes may also be communicated through the app, portal, email, or another appropriate channel.
